A practical guide to understanding what the buyer really wants and how to build a winning response.

It's not just about food

When I look at this tender, I see something beyond the catering.

Yes, you're providing meals for Wellacre Academy.

But you're also supporting their ethos.

"Working together to instil a sense of belonging for all."

That's what Wellacre is really about.

The contract covers catering services for the Academy from 31st July 2027 to 31st July 2030, with potential extensions to 2032.

The value is £1,241,255, so this is a significant opportunity to make a difference.

Think about the students' experience

This isn't just about feeding students.

It's about creating an environment where they feel happy and supported.

If I were evaluating bids, I'd want to know how your service will contribute to their wellbeing.

How will you make lunchtime a positive experience?

What will your team do to ensure every student feels included, no matter their background or need?

Don't underestimate the power of partnerships

Wellacre talks about "strong partnerships".

That's a clue.

They want a supplier who'll work with them, not just for them.

I'd be highlighting how my team collaborates with schools.

How we engage with staff, students and parents.

That's what I'd build my submission around.

Pay attention to what they say

Read their vision and ethos carefully.

"Safe, welcoming and inclusive."

"Excellence in education."

"Supporting every student to fulfil their potential."

These aren't just words.

They're the principles guiding their decision.

They spell out that quality carries more weight than just delivering meals.

Evidence always beats promises

One thing I noticed when I worked in the public sector was the importance of evidence.

Every bidder promises a great service.

Few prove it.

If you've got testimonials or case studies, use them.

Show how you've made a difference in other schools.

  • Positive feedback from students and staff
  • Improvements in meal uptake
  • Success stories of inclusivity and wellbeing
  • Awards or recognitions in the sector

Remember who you're trying to convince

Mrs J Sharrock, the Principal, leads a school where students are inspired to learn and achieve.

She'll be looking for a partner who reflects these values.

If I were writing this tender, I'd focus on how my service aligns with their mission.

How do you inspire through food?

What opportunities do you create for students to engage and enjoy?

Consistency matters over the whole term

It's easy to start strong.

But how do you maintain standards over three to five years?

I'd want to see your plans for staff retention, training and motivation.

What happens during staff absences?

How do you ensure quality doesn't dip during busy periods?

Consistency is key.

One thing I'd keep reminding myself

This contract is about more than meals.

It's about contributing to a community.

A community where students, staff and families feel proud and connected.

I'd keep asking, "How does my service help every student thrive?"

Common mistakes

Avoid submissions that:

  • Focus solely on food quality without mentioning student wellbeing
  • Ignore the importance of inclusivity and a welcoming environment
  • Overlook the need for strong partnerships with the school
  • Fail to provide evidence of past successes
  • Don't address how you'll maintain standards over the contract term
  • Neglect the school's mission and ethos in your response

My Final Thoughts

Wellacre Academy isn't just looking for a caterer.

They're looking for a partner who'll help them create a happy, thriving school environment.

With a contract value of £1,241,255 and a term of up to five years, this is a substantial opportunity.

Quality and the right ethos are crucial here.

Remember, the price isn't everything.

The written submission's strength will make the difference.

Thanks for reading.

I hope this guide has helped make public procurement feel a little less daunting. If it has, then it's done its job.
