A practical guide to understanding what the buyer really wants and how to build a winning response.

This isn't just about meals

When I look at this tender, one thing jumps out immediately.

It's not just about providing meals.

It's about contributing to the school community.

The successful bidder needs to align with the values of Dane Royd and Mackie Hill.

Both schools are looking for a partner, not just a provider.

Dane Royd alone has 360 pupils, and Mackie Hill, with its 172 pupils, relies on meals prepared at Dane Royd.

The contract covers healthy and nutritious meal services from 1st August 2027.

Think about the pupils' experience

Yes, you're feeding children.

But you're also supporting their learning and wellbeing.

Dane Royd's values — Perseverance, Respectful, Open-Minded, Understanding, Determined — aren't just words.

They're what the school lives by.

Mackie Hill's focus on "kind hearts, ambitious minds" underlines their commitment to nurturing and developing each child.

Your service needs to reflect these values.

Pay attention to what they say

"They are committed to developing kind, compassionate young people."

That's a direct quote from the notice.

It tells you what matters.

The schools want a contractor who shares their vision.

One who is involved in the community and takes an interest in educational activity.

Your response should show how you'll support this vision.

Evidence always carries more weight than promises

One thing I noticed when I worked in the public sector was that almost every bidder claimed to deliver an excellent service.

Very few proved it.

So, if you have evidence, use it.

  • Case studies where you've supported educational outcomes
  • Testimonials from other schools you've worked with
  • Examples of how you've engaged with school communities

These are the kinds of things that make a difference.

Don't underestimate the logistics

Mackie Hill relies on meals being transported from Dane Royd.

That's a logistical challenge.

And it's critical to get right.

I'd be detailing exactly how you'll manage this.

From preparation to transportation.

And how you'll ensure meals arrive on time and at the right temperature.

Show how you'll make life easier for the schools

This is something I think suppliers often overlook.

Every contract creates work for the client.

The best contractors reduce that workload.

If I were writing this tender, I'd be explaining how my management processes make life easier for school leaders.

Consistency over the whole term

A three-year contract, possibly extending to five.

That's a long time to maintain standards.

It's not just about the first few weeks.

I'd be detailing my plan for staff training, quality checks and handling absences.

Consistency is crucial.

And it's the hardest thing to deliver.

Remember who you're trying to convince

The decision-makers are the schools.

But the end users are the pupils.

I'd be keeping that in mind throughout my submission.

How does the service impact the pupils' day-to-day experience?

How does it support their development?

Those are the questions I'd be asking myself.

Common mistakes

Avoid submissions that:

  • Ignore the schools' values and community focus
  • Overlook the logistics of meal transportation
  • Fail to provide evidence of past success
  • Neglect the importance of pupil wellbeing
  • Assume one-size-fits-all solutions
  • Overpromise without a plan for consistency
  • Forget to address staff engagement and training

My Final Thoughts

This tender isn't just about catering.

It's about being part of a school community.

Dane Royd and Mackie Hill are looking for a partner who can deliver £645,000 worth of services over three years, with a possible extension to 2027.

Quality will matter as much as price.

And that's why your written submission needs to highlight how you'll deliver value beyond the plate.

Thanks for reading.

I hope this guide has helped make public procurement feel a little less daunting. If it has, then it's done its job.
